TERMS & CONDITIONS | ARCTIC SKY LAPLAND

PLEASE USE A COUPLE OF MINUTES FOR READING OUR IMPORTANT STUFF. THEY ARE WRITTEN FOR YOUR BENEFIT ONLY.

Before making a reservation at Arctic Sky Resort we encourage you to read these terms and conditions carefully, as they constitute a contract agreement between Arctic Sky Lapland and you from the time the booking is made. The person who makes the booking accepts these conditions on behalf of all the people in the group and is responsible for all payments due. By submitting a booking you confirm to us that you comply with these arrangements.

COMMUNICATION | We promise to confirm your reservation or reply to your message within 48 hours. You can contact us by filling out the form in our Contact page or simply by sending an email to minna@arcticskylapland.com.

PRICES | All prices quoted on Arctic Sky are in Euros (€) and per person, unless otherwise specified. All payments and refunds are due in Euros. Arctic Sky Lapland is not responsible for any changes in currency exchange rates that might occur from the time of booking until a refund is made.

TRAVELING TO OUR DESTINATION | Our nearest airport is Ivalo airport. We don`t sell travel tickets, so we kindly advise you to book your tickets to our resort in Finland via your local travel agency or trustworthy online ticket provider. We are happy to give you more detailed advise with destination and means of transportation options as soon as you need the information in order to plan your trip to Arctic Sky Resort. Please contact us for more information. We cannot take responsibility for any delays or other inconveniences you may face on your way traveling to us and back home. We warmly advise you to make sure you have a valid and comprehensive travel insurance. You can ask for airport transportation from Ivalo airport for additional cost.

TRAVEL DOCUMENTS | In addition to your tickets, no matter which country`s citizen you are, please check up carefully your need for travel documents, also the validity needs of your passport, in order to travel to Finland. If you plan to visit Norway on your trip here, please check your document requirements for that too. Finland is a member of the E.U. Then again Norway is a non-EU member, but they are part of the Schengen Area. We also kindly recommend to get yourself a comprehensive travel insurance.

AGE LIMITS | In order to book you have to be 18 or older. A minor between 12-17 is welcomed to our accommodation accompanied by adult. Private activities and tours have no age limit.

LANGUAGES | We are able to serve in English and Finnish.

HEALTH ISSUES | Please kindly note that we are not medical advisers and cannot take responsibility for any part of your health. In case of uncertainty or any concerns about your health, please consult your doctor. All the activities you take part in during your stay at Arctic Sky are executed at your own risk.

SPECIAL NEEDS - WHEELCHAIR ACCESSIBILITY | We are so sorry we cannot recommend our retreat packages for wheelchair users since our yoga lounge is not wheelchair accessible at the moment. However if you are planning to make your own private holiday with us, we are happy to inform we can offer wheelchair accessibility and will do our best to ensure a smooth experience for everyone, considering their special needs and ability to take part in the activities. In case you have a wheelchair with you, or any other special need, please be open about it so we can discuss more.

HOW TO PACK | We always offer the bedlinen, bath towels, yoga mats and equipment for yoga classes plus the final cleaning up service. In the winter time we also offer warm rental overall outfits for outdoor activities. Please pack your favorite comfy indoor and outdoor outfits including the shoes, plus your personal hygiene items and other important belongings with you. Even if your belongings are most definitely safe here, we do not recommend to take any of your expensive jewelries with you. You probably won`t need them anyway here in the wilderness. In case of traveling by plane please always check the baggage rules and regulations from your airline.

PETS | Even if we love animals, we kindly suggest you get someone to take care of your pet at home during your visit to our resort.

CLEAN UP | Customers are responsible of the every day clean up of the bedrooms, bringing the garbage to the garbage bin and keeping the shared facilities in good condition. We will check the shared facilities daily and clean up if needed. The final clean up is included in prices. Every day clean up to the rooms available for additional cost.

SPECIAL DIETS | Our special diet options include vegan, gluten free and non lactose. Please inform us about your diet and possible allergies at the time of booking.

CHECK IN TIMES | Check in from 16:00, check out at 11:00. Check in and check out times may be adjusted according to your timetable for possible extra fee.

THE TERMS OF PAYMENT AND CANCELLATION

- BOOKING YOUR RETREAT PACKAGE via our BOOK/CONTACT PAGE you can choose whether you want to pay the whole price or just the 20% down payment and pay the rest at the time of check in.

- OTHERWISE: Down payment | booking made 4 months or more prior to departure: you will receive the confirmation and the down payment invoice 20% per person via email. You can cancel free within a week or confirm your reservation by completing the down payment. Down payment | booking made less than 4 months prior to departure: you will receive the confirmation and the down payment invoice 20% per person via email. No free cancellation. The booking requires instant down payment. The rest of the payment you may complete at the check in at Arctic Sky Resort unless otherwise agreed. The down payment cannot be refunded. Please make sure you have a valid personal travel insurance in case of a cancellation due to medical reasons. Cancellation fees * 1 month or less prior to departure 50% of the total package rate will be charged *14 days or less prior to departure 100% of the total package rate will be charged.

- HOW TO PAY | For the deposit, we will send you an invoice. You can pay it with bank transfer, payment link for credit card or with PayPal (minna@arcticskylapland.com). For the rest of the payment, we accept cash and following credit cards: Visa, Mastercard, American Express, JCB, China Union Pay, Discover, Maestro, Visa Electron and V pay. You can also use Apple Pay, Samsung Pay and Google Pay for the payment. For Finnish residents we have also Klarna payments possibility. We are a sport benefit providers for ePassi and Smartum.

SPECIAL TERMS DUE TO COVID-19 | If you are not able to travel at your chosen dates due to COVID-19 once you have booked your holiday with us, you may change the dates free of charge. COVID-19 related reasons include the change in travel restrictions of your own country as well as Finland or if you or a member of your booking party has recently been diagnosed with COVID. Please notify us as soon as possible to change your dates and we will assist you in finding a suitable replacement date. This COVID-19 terms are valid for bookings made after 25.11.2020.

BOOKING TERMS FOR ACTIVITIES AT ARCTIC SKY

These terms supplement the Arctic sky booking terms (General Conditions) but do not preclude them. Please notice, that you are participating all activities at your own risk.

Some of the activities are taking place in wilderness, all safari procedures were taken into consideration to restrain any risk to a minimum. However, behavior of animals and arctic condition can never be fully predicted and therefore in order to reduce risks, customers are obligated to follow and obey all given safety instructions by Arctic Sky.

If guide believes that participants´ behavior is causing distress, danger or damage for other participants, animals or equipment – guide has authority to cancel the customers right to continue activity and company is not liable for activity refund or compensation.

The customer is under contract to follow the instructions given by Arctic Sky concerning, the program, the animals, the equipment before, during and after the safari or other activities. The customer is responsible for respecting the program schedule. If the customer neglects this obligation, Arctic Sky has the right to charge the costs caused by the negligence.

The customer agrees to indemnify and release Arctic Sky from all liability for any indirect loss and any cost resulting from any act or omission by negligence or any violation of the General Conditions.

Arctic Sky is not responsible for accidental damage or injury which must be compensated under the customer's travel insurance. Arctic Sky is not responsible for any loss, injury, or damage, direct, indirect, or consequential, resulting from incidents or accidents during transfers, except to the extent that such loss, injury, or damage is caused by intention or by gross negligence. Personal travel insurance is always strongly recommended.

In the event of a medical problem or pregnancy, you must consult a medical expert on your ability to participate in the safari and activity to offer. If the customer suffers from an illness or handicap of this nature, he /she acknowledges that he participates in the service at his /her own risk.

All snowmobiles used in snowmobile safaris are insured as required by Finnish law and the coverage is subject to Vehicle Liability Insurance terms and conditions. All snowmobile drivers need to have a driving license and at least 15 years of age. Safari participants are held liable for damages caused to snowmobiles. The customer is held liable for a maximum liability of 1.500 € per person in case of accident.

These terms and conditions are governed and interpreted in accordance with Finnish law.
